What is 5S

Sometimes you’ll hear 5S discussed within the confines of a Six Sigma or Lean project, but it’s really a process improvement system all on its own.
5S is a Japanese philosophy focusing on the effective organization of the workstation and on standardized work processes. It’s an instrument to design a safe, clean and structured work environment which helps reduce unproductive activities and to improve quality, efficiency and security. The idea is that a work process should be run without any interruptions or waste. Things like searching for tools, long transportation routes and waiting times should all be avoided. To be effective, 5S must include the involvement of all concerned employees. |
Translated into English, the 5S system stands for Sort, Straighten, Shine, Standardize, and Sustain. In the Sort phase, the goal is to keep only necessary items at the workspace. This means you’ll be reviewing all tools, parts, and equipment and keeping only what is essential to the job. Everything considered non-essential must be removed.
In the Straighten phase items are arranged to promote efficient workflow. Tools are placed in a logical order. They are well labelled and are kept close to where they are used. The Shine phase is where you clean a work space so that it is neat and tidy. The workstation, as well as all tools and equipment are cleaned. Employees are assigned areas of responsibility and work to eliminate causes of dirt and interruption.
In the Standardize phase you’ll create a set of standards that should be consistently followed for organizing a workspace. Create standards for Sorting, Straightening, and Shining. You’ll need to make sure these standards are easy to understand and have visual controls. Simplicity is key. You’ll also make sure that employees are educated on the new standards and have individual responsibilities.
Finally, in the Sustain phase you work to maintain and review the new standards. You’ll measure and monitor the new processes and address the root causes of any problems that arise.
